Working hours

The regular working hours for state employees is 40 hours per week including a 30 minute lunch/rest break. The employee is free to leave the work place during lunch. Work time is from 8:00 to 16:00, 5 days a week throughout the year.

Exceptions for technical and administrative personnel: Average work time is 37,5 hours per week including a 20 minute meal break. Employees must be available during meal breaks. Daily work time is arranged the following during summer/winter: Summer, 15 May - 14 September: 8:00 to 15:00 Winter, 15 September - 14 May: 8:00 to 15:45


Flexi-time

All employees at The Faculty of Medicine are entitled to practice flexible working hours, if the character of the work allows it.

The core time is from 09.00 to 14.30 throughout the year. The maximum working time is from 07.00 – 20.00. It is also possible to work 5 hours during the weekend. During the core time all employees are obliged to be present at the department.

Flexible working hours can be used if the character of work makes this possible. This means that the closest superior can deny the use of flexitime, if the Department’s interests must be prioritized. The employee cannot be instructed to work outside the ordinary work time (8:00 - 16:00), as such arrangements can only be made if both parties agree.

It is permitted to transfer up to 50 plus-hours or 10 minus-hours to the next period (calendar year). Time exceeding 10 minus-hours will be subtracted from salary. Time exceeding 50 plus-hours will be deleted without compensation. UiB’s write-off period is 12 months from 01.01-31.12.

Taking time off as compensation for unpaid overtime

The possibility to take time off as compensation for unpaid overtime requires an updated list of hours worked. Agreements of taking time off for technical and research employees are to be made with the group leader or head of department. For administrative employees agreements are also to be made with the group leader or head of administration. Any plans to take time off needs to be clarified ahead of time with the professional responsible person. After having been approved, a notice of taking time off as compensation for unpaid work, should be given to the expedition (Phone (+47) 555 86300).

Part-time employees:

An agreement concerning work time is made in connection with the appointment. This may be revised later in agreement with the principle investigator and head of administration.

Part-time position and other part-time work

Research personnel may have outside part-time positions and other part-time work for up to 20% of full employment. It is taken for granted that part-time post and part time work are in written agreement with head of department, which also shall include how the engagement is to be organized. All current part-time positions or part-time work must be submitted as soon as possible to the head of department.


Place of work

The place of work outside the department must be distinctly arranged by everyone. It also applies in those instances where research personnel want to do reading/ writing work outside the department.


Absences

Travel and courses

In connection with budget allocation from the University of Bergen for travel and courses, it is implicit that a travel permit is given at the same time. It is of great importance that report of travels is given to the main office (e-mail: personal.biomed@uib.no or phone (+47) 555 86300 before departure.

Sickness

Absence due to sickness shall be reported to the main office (e-mail: personal.biomed@uib.no or phone 555 86300) in the morning of the first day of sickness. The employee can self-report sickness that lasts up to 8 consecutive days in HR-portalen (called "egenmelding" in Norwegian). It is possible to self-report sickness of up to 24 days per calendar year. For longer periods, a medical report of sickness ("sykmelding" in Norwegian) is sent electronically or delivered to the head of administration or the personnel department. The employer has extended responsibility in following up sick leave, especially concerning work- related absence.


Leave of absence

Head of department and head of administration may consent to a leave of absence limited to 10 days per calendar year. After previous endorsement by the head of department, applications for longer leave of absence are considered by the faculty.

Vacation

In accordance with the announced common deadline concerning summer and Christmas vacation, a notice on all planned vacation should be given in Pagaweb,. Other vacations should be reported in good time.
